Purpose of consultancy:
UNFPA is the lead United Nations sexual and reproductive health agency for delivering a world where every pregnancy is wanted, every childbirth is safe and every young person's potential is fulfilled. UNFPA expands choices and possibilities for women and young people to lead healthy and productive lives. The UNFPA strategic plan, 2022-2025, is the second of three consecutive strategic plans leading to 2030. It focuses on critical pathways and the strategies necessary to accelerate the achievement of three transformative results: (a) ending the unmet need for family planning; (b) ending preventable maternal deaths; and (c) ending gender-based violence and harmful practices, including female genital mutilation and child, early and forced marriage.
To ensure adequate implementation support for the 2025 annual workplan, UNFPA SRO is looking for a national consultant to provide communications, administrative/finance, event coordination, and logistical support in our Representation office.
Reporting to the Chief/Officer-in-Charge of the Seoul Representational Office, the consultant will take directions from Global Programme Coordinator and/or Administrative Associate of the Seoul Office to provide support in the areas of administration/finance, protocols, liaison, event logistics, research, translation, comms and media, and partnerships with various stakeholders.
Scope of work:
Due to the nature of the small office, duties will be wide-ranging, and the consultant will be expected to be flexible and demonstrate the ability to adapt to a range of different tasks.
The consultant will:
- Support the management of the Seoul Representational Office’s official website(seoul.unfpa.org) and social media posts (IG, Naver Blog, etc.) by providing the English to Korean translations, publishing at least 2-3 stories, infographics, card news, etc. in English and/or Korean per week. Support the maintenance of the website by monitoring messages coming to the query inbox, replying to any questions from the public which is received through the Office’s email account, monitoring any website bugs, and flagging any to a focal point in HQs(Media and Communications Branch);
- Support organizing and executing events (e.g. State of World Population Report Launch) and seminars providing all necessary support pertaining to liaising with various stakeholders, providing written translations, drafting documents, and relevant administration and procurement/logistics assistance;
- Support the management of the Seoul Office’s stakeholder engagement including private sector and NGO partnerships – track partners’ interests and SRO’s interactions – and also provide support in identifying potential partners in the private sector;
- Schedule and coordinate meetings when necessary, preparing agendas, information papers, donor profile(RoK), think-pieces, briefing notes and/or minutes of meetings;
- Develop, update, translate and distribute communication materials;
- Perform other ad hoc duties as required.
Duration and working schedule:
The consultancy will last for 3 months from 1 January to 31 March 2025. It is a full-time consultancy. Payments will be made every month.
Place where services are to be delivered:
The consultancy will be full-time (from Monday to Friday) to be delivered in-person from the UNFPA Seoul Representation Office.
Delivery dates and how work will be delivered (e.g. electronic, hard copy etc.):
At the start of the consultancy, the consultant will be expected to develop a work plan with clear deliverables and timelines in collaboration with the team. The work will be delivered in various media formats including electronic and hard copy as needed.
Monitoring and progress control, including reporting requirements, periodicity format and deadline:
A performance schedule will be developed with the consultant which will be reviewed at the half-way mark and at the end of the consultancy. Monthly progress reports will be prepared and submitted for review.
Supervisory arrangements:
The consultant will be hired under the overall guidance of the Office Chief and under direct supervision of Global Programme Coordinator and/or Administrative Associate according to the work/duties.
Expected travel:
No travel is expected
Required expertise, qualifications and competencies, including language requirements:
- Completion of secondary school
- Experience in preparing communication and advocacy related materials, administration/finance, logistical support, event coordination, research or related fields is required.
- Ability to write clearly and concisely in Korean and English is required
- Initiative, sound judgment and demonstrated ability to work harmoniously with staff members from different national and cultural backgrounds is an asset
- Be computer literate in standard word processing and spreadsheets software applications such as Microsoft Word, Excel, PowerPoint or similar. Possessing photoshop/illustrator skills (e.g. Adobe, Canva, etc.) is desirable.
- Strong organizational skills and attention to details;
- General knowledge of international development policies, international affairs, and basic knowledge of the UN system and sustainable development issues is desirable.
- Have a demonstrated keen interest in the work of the United Nations and a personal commitment to the ideals of the Charter; and have a demonstrated ability to successfully interact with individuals of different cultural backgrounds and beliefs, which include willingness to try and understand and be tolerant of differing opinions and views.
- Self-starter; able to work well without constant direction;
- Strong oral and written communication skills in both English and Korean
Inputs / services to be provided by UNFPA or implementing partner (e.g support services, office space, equipment), if applicable:
As required, UNFPA SRO will provide the consultant with a working space.
